You have chosen to attend our practice. To properly attend to your care we will need information from you that may be of a personal nature. Regenesis Aesthetic + Wellness respects your right to privacy and this policy has been prepared to advise you of how we deal with the information we collect about you. WHAT INFORMATION ABOUT YOU DO WE NEED TO COLLECT?

At your first visit, we will commence a patient file for you. We will need to know your name, address, date of birth, home, work and mobile phone numbers, and details of a person to contact in the case of an emergency.

During your consultation, your practitioner will ask a series of questions relating to your health and wellbeing. This information will be recorded to assist in your continuing care.

WHAT DO WE DO WITH THE INFORMATION WE COLLECT?

All information is placed in your patient file and is only accessed when necessary for your care. We may need to disclose your personal information to others involved in your healthcare, including specialists, allied health providers and diagnostic providers. This will include referrals, reports and results to those providers. In an urgent situation, you may be unable to give consent, but we may still need to provide this information.

You can decline to have your health information used in all or some of the ways outlined above, but this may influence our ability to manage your care and provide the best outcome for you.

Your information may also be accessed for research and quality assurance purposes to improve individual and community healthcare. In some situations, your information may need to be provided to government agencies under applicable laws.

If you do not want your information used for any purpose other than your direct care, please let us know.

PRIVACY AND CONFIDENTIALITY

Regenesis Aesthetic + Wellness is committed to maintaining the confidentiality of your personal health information at all times and to ensuring that this information is only available to authorised members of staff. Your patient record is confidential.

We take care to avoid inadvertent disclosure of personal information. Appointment schedules and patient files are not visible to other patients. Computer screens are cleared prior to each new patient. We take steps to protect the personal information we collect from misuse, loss and unauthorised access, modification or disclosure. Electronic health records are securely backed up.

Please note that we are unable to give information about other patients or confirm whether they are in attendance or have made an appointment.

PATIENT RECORDS

Patient records are kept for a minimum of seven years after your last attendance, or until the age of twenty-five years for a patient who attended our practice as a child, as required by law.

Your consent is required when transferring records to another practice or health provider. Please advise our reception team if you require your records to be forwarded to another healthcare provider. A transfer of records document will be required to be signed, which will then be recorded in your file.

Note: Consent for the transfer of information differs from procedural consent.

Prior to signing consent to the release of health information, patients are advised that they may request a copy of our Privacy Policy.

AI ASSISTANT — LEXI

Regenesis Aesthetic + Wellness uses an AI-powered virtual assistant called Lexi to help manage enquiries outside of business hours and to assist with general information requests. Lexi is available via our website and may also operate across other messaging channels.

Lexi is designed to provide general information about our practice, treatments and booking processes. She is not a medical practitioner and does not provide clinical advice, diagnoses or treatment recommendations.

When you interact with Lexi, the content of your conversation may be stored and processed by the AI platform that powers the assistant. We use this information to respond to your enquiry and to improve the service. Lexi will not ask you to provide sensitive health information and will direct clinical questions to our practitioners.

In line with our compliance obligations under the Therapeutic Goods Act 1989 (Cth) and AHPRA advertising guidelines, Lexi will not discuss prescription medications, Schedule 4 substances or make claims about treatment outcomes. Any enquiries of this nature will be directed to a member of our clinical team.

If you have concerns about the AI assistant or do not wish to interact with it, you are always welcome to contact the practice directly.

BEHAVIOUR

We understand that attending a clinic can at times be stressful or anxiety-inducing. Regenesis Aesthetic + Wellness has a zero-tolerance policy towards violence and does not tolerate verbal or physical threats directed towards members of staff or practitioners.

APPOINTMENT CANCELLATION AND NO-SHOW POLICY

We request that patients provide a minimum of 8 hours notice if they are unable to attend or need to reschedule an appointment. This allows us to offer that appointment to another patient. Appointments can be cancelled or rescheduled by calling us on (08) 7225 8810 or by leaving a message on our after-hours service.

Practitioners reserve the right to charge a Did Not Attend fee of $75.00 if a patient fails to cancel within the required notice period. This fee may be settled at your next appointment.

Patients who repeatedly fail to attend appointments without notice may have a restriction placed on their patient record and may be unable to make further appointments.

TELEPHONE CALLS

Practitioners are not generally available to take telephone calls during consultation times. Our reception team can take a message which will be passed to your practitioner as soon as practicable. Urgent calls will be managed by an appropriate staff member.

EMAILS AND ONLINE ENQUIRIES

Regenesis Aesthetic + Wellness does not provide medical advice via email or online enquiry forms. For clinical questions please contact the practice directly or book a consultation.

INFECTION CONTROL

All Regenesis Aesthetic + Wellness staff have completed infection control training in accordance with Australian Government Department of Health guidelines.

WAITING ROOM

Every effort is made to keep scheduled appointment times. Delays may occasionally occur due to the needs of other patients. We appreciate your patience.

As a courtesy to others, we ask that mobile phone use in the waiting room be kept to a minimum.
